The essential duties and responsibilities are:
× Interact with external clients, and answer and respond to phone calls received by partners and managers. × Provide general administrative support (correspondence, answer telephone, schedule appointments, open mail, copying, faxing). × Use Microsoft Suite extensively to prepare professional documents including letters, memos, proposals, presentations, spreadsheets and billing statements. × Create and work with complex Excel spreadsheets
× Plan and set up meetings and teleconferences, internally and externally. × Plan and coordinate special events.
× Maintain and manage the electronic calendars. × Communicate effectively and professionally with all levels of internal leadership, client personnel and client service personnel. × Adhere to the highest degree of professional standards and strict confidentiality in matters that require discretion. × Perform other job-related duties as necessary, sometimes on short notice.
Qualifications
Qualifications for the position are:
× High school degree or equivalent required; college degree preferred. × One to two years of administrative support experience in a corporate or professional services × Experience supporting executives and managers × Advanced skill level with Microsoft applications including Outlook, Word, Excel, and PowerPoint. × Excellent verbal, written and interpersonal communication skills. × Excellent customer service skills. × Ability to prioritize multiple assignments. × Ability to treat sensitive / confidential information with appropriate discretion. × Strong attention to detail. × Ability to take initiative, self directed and results-oriented. × Work well under pressure; adhere to deadlines. × Flexible team player with ability to react to sudden change. × Ability to work additional hours as needed; sometimes on short notice.
