Administration – Office Services Assistant

An International Firm providing Audit, Accounting and Advisory Services.

Position Summary: The Office Services Assistant’s primary responsibility is to perform a variety of administrative and facilities support for the office. This position reports to the Office Manager.

Essential Duties and Responsibilities:

Answer all incoming calls, transfer, and direct calls to appropriate staff or voicemail; utilize office paging system when appropriate and necessary; ensure back-up is present when absent from reception desk.
Receive and process data entry into oneView (CRM tool); requests for Insight Reporting, One View entries, reporting and Client Voice scheduling.
Maintain and coordinate conference room reservations and logistics utilizing the GTRS system; keep a schedule of events to prevent reservation conflicts. Review upcoming meetings for the day and proactively reach out to participants (or administrative support) to ensure readiness for meetings.
Receive local video conference requests; submit scheduling requests to the video conference support team.
Interact with corporate travel group to coordinate travel arrangements as necessary.
Assist with event, training, or meeting planning with catering; receive catering requests, place orders with approved vendors and direct deliveries to assigned meeting space.
Monitor email for administrative requests and tasks.
Assist with administrative projects as needed to include but not limited to data entry, mass mailings and preparing correspondence.
Welcome visitors, determine nature of business, and announce visitors to appropriate personnel or department.
Maintain neat and organized reception area, lobby and boardrooms to ensure spaces are meeting ready at all times; ensure resource information is current and accessible.
Help maintain security by following procedures (i.e. access badge and parking validation issuance) and monitoring login sheets.
Assist clients and visitors with parking validations and maintain parking log; transportation requirements (as needed).
Serve as a general information center to provide solutions and support to internal and external clients using in-depth knowledge of company products and services; be a local area information resource.
Act as a backup to receive and distribute FedEx and UPS deliveries, and arrange for courier pickup and deliveries.
Other duties as assigned.

Qualifications

Required Qualifications:

5-7 years of administrative support.
Professional work experience in a related field.
Understand and anticipate customer service and administrative needs and deliver high quality service and results.
Ability to plan and prioritize multiple assigned activities in order to achieve tasks in a timely manner.
Computer literacy, including standard Microsoft Office Suite (Word and Outlook); familiarity with scheduling software, Internet/Intranet and organizational specific software applications.
Positive, team-oriented approach required. Ability to adapt and accept difficult situations and tasks and perform with the utmost professionalism.
Excellent communication, written and oral, and interpersonal skills. Ability to identify and discuss issues and present workable solutions in a simple, meaningful, focused manner with all levels of employees.
Ability to coordinate own activities with others in order to achieve individual and team goals.
Knowledge of automated office telephone and voicemail systems

Preferred Qualifications:

College degree preferred, not required.
Experience in a public accounting; an accounting department, professional service firm, or related experience.
