ADMINISTRATIVE ASSISTANT

Grant Thornton’s Internal Client Services (ICS) team works in a wide range of functional areas including, human resources, marketing and sales, accounting and finance, legal, information technology, facilities and services, purchasing, strategic learning, and must continually evolve to meet the ever-changing demands of the marketplace to achieve higher performance both for ourselves and our clients.

POSITION SUMMARY

The Administrative Assistant’s primary responsibility is to perform a variety of administrative and facilities support for the Bellevue office. This position reports the PNW Office Supervisor.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Work closely with PNW Office Services Supervisor on all facets of office support
Primary backup to Executive Assistant, including planned and unplanned time out of the office
Greet all visitors to the firm in a timely, courteous and professional manner.
Serve as general information center, i.e., be knowledgeable about firm, employees, clients, etc.
Ensure that common areas and conference rooms are meeting-ready at all times
Inventory office, production and kitchen supplies, prepare, receive and stock orders
Responsible for organizing and replenishing kitchens, copy, production and file room throughout the day
Prepare and maintain workstations and offices for new occupants or for visiting employees or guests
Maintain photocopiers, postage, binding and other equipment ensuring clean and orderly condition; report malfunctions and problems
As needed, assist other departments with various projects (i.e., data entry, mass mailings, scanning, report production, etc.)
Assists with Business processes using multiple GT programs and applications
Manage time and expense entry
Data entry into oneView (CRM tool)
Assist with facility repair requests
Request new access badge from the building for new hires and maintain the database of access badges.
Conduct office tours for new hires and visiting employees or guests
Receive and distribute U.S. mail, UPS and arrange for courier pickup and deliveries
Assist with event, training, or meeting planning with catering, room, a/v & web cast setup
This will require light physical moves of training tables to suit the needs of the delivery of training (e.g. changing to conference room style, classroom or u-shape setup)

· Perform security procedures (e.g., collect confidential shred materials and deliver to shred bin; ensure that all conference rooms, copy room and other common areas are clear of confidential material)

· Will be required to run errands outside of the office (e.g. Post Office, lunch pickup)

Qualifications

QUALIFICATIONS AND REQUIREMENTS

High School diploma or equivalent
5 to 7 years’ experience in a professional services environment
Detail-oriented, with strong organizational skills
Must be able to prioritize work in order to meet tight deadlines and to handle multiple assignments, projects, and responsibilities
Must be motivated to learn new skills and apply new solutions, and to make existing solutions more effective and efficient
Software – Microsoft Windows based programs: Word, Outlook, Excel, PowerPoint
Time Management – Ability to plan and prioritize assigned activities in order to achieve tasks in a timely manner. Must be able to meet tight deadlines in a fast-paced environment and to handle multiple assignments, projects, and responsibilities simultaneously producing accurate, timely results. Must be able to work independently with little direct supervision
Communication – Excellent communication, written and oral, and interpersonal skills. Ability to identify and discuss issues and present workable solutions in a simple, meaningful, and focused manner with all levels of employees
Teamwork – Ability to coordinate own activities with others in order to achieve individual, team and organization goals. Positive, team-oriented approach required. Ability to adapt and accept difficult situations and tasks and perform with the utmost professionalism
Professionalism – Professional appearance and presentation. Able to handle highest level confidential information
