Billing Assignment Coordinator

POSITION SUMMARY

The Billing Coordinator provides support related to all aspects of client billings and advises the client-serving executive of the administrative responsibilities associated with assignment information management as well as develop a ready resource for financial data and analysis.The Billing Coordinator also administers client assignment records, monitors inventory levels, initiates client invoicing, and oversees the collection of accounts.

ESSENTIAL DUTIES AND RESPONSIBILITIES
Establish and maintain new clients and assignments and process invoices in the (CMS) system.
Establish and maintain client and assignment records.
Input invoices and help monitor collections.
Comply with all scheduling timelines.
Input all data relating to client invoicing, analyze time descriptions, maintain billing files, help monitor client collections, and follow up on past due invoices.
Handle the data entry of client and assignment information into the financial management system.
Research any billing discrepancies and follow up with appropriate personnel to make any necessary correction.
Proactively encourage billing for "out of scope" work.
Review write-offs, reverse application of payments, and make appropriate entries.
Work on complex financial system daily.
Prepare spreadsheets and reports.
Participate in the implementation of centralized billing.
Proactively seek and provide recommendations to improve existing processes.
Respond to partner/client inquires and special projects.
Adhere to the highest degree of professional standards and strict confidentiality in matters that require discretion.
Attend professional development and training sessions on a regular basis.
Other duties as assigned.

Qualifications

QUALIFICATIONS AND REQUIREMENTS
Associates or Bachelor's degree a plus or equivalent work experience.
At five years of client billing experience in a professional services firm.
Experience using large-scale (complex) financial system.CMS Open, Elite or ERPexperience or similar time/billing/expense reporting packages a plus.
Understanding of client billing process/accounts receivable process.
Strong attention to detail and accuracy required.
Must have excellent communication skills, both written and verbal, and the ability to work within a team environment.
Knowledge of MS Excel, Word, and email communication.
Willing to take on additional responsibility as assigned.
Dependable and able to work independently.
Ability to work additional hours as needed.
