Tax / Business Development Administrative Assistant

With this focus and commitment in mind, we have an opening for a Tax and Business Development Administrative Assistant in our Philadelphia, Pennsylvania office.

Responsibilities:

· Provide day-to-day, high-level administrative support to multiple Tax and Business Development professionals.

· Establish and maintain a rapport with internal and external clients while adhering to the highest degree of professional standards and strict confidentiality in matters that require discretion.

· Proactively manage electronic calendars and e-mail; anticipate travel needs and arrange complex travel; prepare time and expense reports; and reconcile corporate credit card statements.

· Coordinate meetings, conference calls and appointments, and plan service line outings.

· Draft and produce grammatically correct, accurate and complete final correspondence, which include engagement letters, memos and other business communications.

· Produce and proofread PowerPoint presentations according to Firm style guidelines, often within time constraints.

· Independently compose routine correspondence and recurring reports.

· Provide support with processing client deliverables and other materials.

· Create/update client and contact records; create/update opportunities; and prepare reports in oneView (client relationship database).

· Continuing Professional Education (CPE) Credit Coordinator for Philadelphia office.

· Perform general office and clerical duties.

· Seek additional assignments with little supervision.

· Work as part of our administrative team, including covering our receptionist as necessary.

· Use of tax department speciality software (Tax Symphony and CEA).

· Use technology to service clients in the most efficient manner.

· Assist with office events.

Qualifications

Required Skills and Experience:

· 1-3 years of experience as an administrative assistant. Professional services firm experience preferred.

· Ability to support multiple professionals, multitask and prioritize workload.

· Ability to exercise considerable discretion and independent judgment.

· Proficient in Microsoft Office including Outlook, Word, Excel and PowerPoint.

· Good organizational skills, high level of accuracy and detail-oriented.

· Customer service focused. Naturally like to help people in any way you can.

· Strong work ethic; approaches work with a sense of purpose, urgency and ownership.

· Ability to demonstrate our values on a consistent basis.

· Resourceful and agile.

· Excellent written and oral communication skills.

· Highly dependable and flexible around overtime, including weekends during our tax busy seasons.
