West Region Switchboard Operator/Receptionist – Global Accounting Firm

Position Summary:

The West Region Switchboard Operator/Receptionist administers all incoming calls and operates the reception area Monday through Friday during business hours. This position reports to the Administrative and Facilities Manager.

Essential Duties and Responsibilities:

· Open and close reception area (i.e. locking doors, turning on/off lights).

· Answer incoming calls for eight (8) Grant Thornton offices in the West Region and transfer the calls to appropriate staff or voicemail. Page or contact respective administrative assistant when needed.

· Greet all visitors to the firm in a timely, courteous and professional manner.

· Help maintain security by following procedures (i.e. access badge and parking validation issuance) and monitoring login sheets.

· Receive and sort mail, faxes and package deliveries. Scan mails and faxes for employees working in client sites.

· Prepare shipping labels and arrange for courier service for outgoing packages.

· Serve as general information center, i.e., be knowledgeable about firm, employees, clients, etc.

· Act as concierge, assisting with the maintenance and coordination of conference room reservations, as well as keeping a schedule of events so that conflicts do not occur in GTRS (Grant Thornton Reservation System) hoteling software.

· Co-responsible for all catering orders for meetings, trainings, and other events.

· Assist in new hire orientations, specifically in terms of requesting access badges, and ordering new business cards.

· Find, coordinate, and reserve available hoteling offices or workstations when requested.

· Train other personnel as backup for reception coverage and phone system.

· Keep the reception area clean and organized.

· As needed, assist other departments with various projects (i.e., data entry, mass mailings, scanning, report production, etc.)

· As needed, assist operations/finance department with clerical support, data entry and analysis.

· Adhere to the highest degree of professional standards and maintain strict confidentiality in matters that require discretion.

· Attend professional development and training sessions on a regular basis.

· Perform other job-related duties as needed.

Qualifications

Qualifications and Requirements:

· Some college or Business School Certificate.

· Minimum 3-5 years of customer service experience, dealing with a high volume of calls.

· Professional demeanor.

· Professional services experience a plus.

· Excellent verbal, written, and interpersonal communication skills.

· Must be customer service-driven.

· Ability to prioritize, be organized and be able to multi-task.

· Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint).

· Must be reliable, punctual, and able to work with minimal supervision.

Ability to work additional hours as needed.
